Privacy Policy

This policy explains what data ReadyVisaPhoto (readyvisaphoto.com) collects, why, who we share it with, and how long we keep it. It describes our actual practices in plain language. It is part of our Terms of Service.

ReadyVisaPhoto is operated by ReadyVisaPhoto ("we", "us"). We are an independent service and are not affiliated with any government or official body.

The short version

  • We collect the photo you upload, a small order record when you buy, and basic usage analytics.
  • We use your photo only to run the free check and to produce your file. We do not sell it, use it for ads, or use it to train models.
  • Uploaded photos and finished files are cleared out by a regular automated cleanup process โ€” generally within about 48 hours for uploads, and shortly after the 30-day download window closes for finished files.
  • Payments are handled by Stripe; we never see your full card number.
  • We don't require an account or a password.

What we collect and why

1. The photo you upload

When you use the free checker, you upload a photo. We use it to:

  • run automated compliance checks and generate your report, and
  • if you buy, produce your formatted photo file.

We store the uploaded photo and the preview we generate on our own server while we process it. We also compute a fingerprint (a SHA-256 hash) of the image so that re-uploading the same photo can reuse an existing result instead of reprocessing it.

We do not use your photo for advertising, do not sell it, and do not use it to train machine-learning models.

2. Order and payment information

If you buy a file, we create an order record that includes: an order ID, which application (corridor) you chose, the image fingerprint, the amount charged, the Stripe checkout reference, timestamps (created, paid, downloaded), your email address, whether a receipt was sent, and โ€” if you request a refund after downloading โ€” the refund reason you selected.

Payment card details are handled entirely by Stripe. We never receive or store your full card number. Stripe collects your payment and billing details directly and processes the payment; see Stripe's own privacy policy.

Your email address is collected by Stripe at checkout and shared with us so we can send your receipt and download/refund links.

The options step also has an optional email field you can fill in before you pay. If you type an address there, we store it with the fingerprint of the photo you were checking so we can send you one reminder โ€” and only if you leave without buying. It is a single email, it carries an unsubscribe link that stops us writing to that address for good, and we never sell or share the address or use it for anything else. Leave the field blank and nothing is stored.

3. Usage and device information (analytics)

If analytics is enabled on the Site, we use Google Analytics 4 to understand traffic and measure whether ads lead to sales. This uses cookies and collects standard information such as pages viewed, approximate location, device/browser type, and referring source. When you complete a purchase, we send Google Analytics a purchase event containing the order ID, amount, and which application you bought โ€” so we can measure sales, not just visits. Google Analytics anonymizes IP addresses by default.

4. Security and anti-abuse data

  • We use your IP address to enforce rate limits (to prevent abuse). This is held only briefly in server memory and is not written to our database.
  • If bot-protection is enabled, we use Cloudflare Turnstile to tell humans from bots. Completing the check sends a token and your IP address to Cloudflare.

Cookies and similar technologies

  • Analytics cookies (Google Analytics), if analytics is enabled, as described above.
  • Advertising-measurement cookies (Microsoft Advertising, Meta), if enabled โ€” never for visitors in the EU/EEA, UK, or Switzerland.
  • Bot-protection: Cloudflare may set cookies as part of Turnstile / keeping the Site available, if enabled.
  • Local browser storage: after a purchase we store a small flag in your browser (session storage) so we don't double-count the same purchase in analytics. It clears when you close the tab.

We currently show a short disclosure in the Site footer rather than a cookie banner.

Who we share data with

We don't sell your personal information. We share data only with service providers that help us run ReadyVisaPhoto, and only as needed:

  • Stripe โ€” payment processing and receipts. Receives your payment and email details directly.
  • Google (Google Analytics) โ€” website analytics and conversion measurement, if enabled. Receives usage data via cookies.
  • Cloudflare โ€” bot-protection (Turnstile) and site delivery, if enabled. Receives your IP address and a verification token.
  • Microsoft (Microsoft Advertising) โ€” advertising measurement, if enabled. Receives usage data via cookies so we can tell which ads lead to sales. Not loaded for visitors in the EU/EEA, UK, or Switzerland.
  • Meta (Meta Pixel) โ€” advertising measurement, if enabled. Receives usage data via cookies. Not loaded for visitors in the EU/EEA, UK, or Switzerland.
  • Our email provider โ€” our email delivery provider โ€” to deliver receipt and download/refund emails, if email is enabled.

We may also disclose information if required by law, to enforce our Terms, or to protect the rights, safety, and security of our users or the Service.

How long we keep data

  • Uploaded photos and previews: held for up to 24 hours, then cleared out by a regular automated cleanup process โ€” so they're generally gone within about 48 hours of upload. This isn't an instant deletion the moment the window closes; it happens the next time the cleanup process runs.
  • Finished photo files (for paid orders) and any background cutouts: your download link is valid for 30 days, and the files are cleared out by the same automated cleanup process shortly after that window closes.
  • Order records (order ID, email, amount, status, refund reason, etc.): retained for as long as we need them to provide the Service and to meet legal, tax, accounting, and fraud-prevention obligations โ€” and may be kept longer than that where necessary.
  • Pre-purchase email captures (the optional field on the options step): retained with the order records above. If you unsubscribe, we keep the address on a do-not-email list โ€” that record exists only so we can honour the unsubscribe.
  • Analytics data: retained by Google according to our Google Analytics data-retention settings.

How we protect your data

  • We don't require accounts or passwords, so there are no login credentials to lose.
  • Download and refund links use signed, expiring tokens rather than guessable URLs.
  • Payment card data never touches our servers โ€” Stripe handles it.
  • We apply rate limiting and bot-protection to reduce abuse.

No system is perfectly secure, and we can't guarantee absolute security, but we take reasonable measures to protect the limited data we hold.

Children

The Service is intended for adults preparing applications. We do not knowingly collect personal information from children except where an adult is preparing an application photo (which may include a child's photo) on their behalf. If you believe a child has used the Service directly, contact us and we'll address it.

Your choices and rights

  • Deletion: Uploaded photos and finished files are cleared out automatically on the schedule above. Order records are retained as described above; to ask us to delete your order record or email address, contact info@readyvisaphoto.com.
  • Access / correction: You can ask what order information we hold about you and ask us to correct it.
  • Analytics opt-out: You can block analytics cookies in your browser or use Google's opt-out tools.

For visitors in the EEA, UK, California, and similar regions

Depending on where you live, you may have additional rights under laws such as the EU/UK GDPR or the California Consumer Privacy Act (CCPA/CPRA) โ€” for example, the right to access, correct, delete, or port your data, to object to certain processing, or to opt out of "sale" or "sharing" (we do not sell your personal information). To exercise any right, email info@readyvisaphoto.com. We will respond as required by the applicable law.

Changes to this policy

We may update this policy from time to time. When we do, we'll change the "Last updated" date above. Material changes will be made reasonably noticeable.
